Payroll Manager
The Payroll Manager plays a critical role in ensuring the integrity, accuracy, and compliance of payroll processing, payroll tax, and accounting across all entities for the company. This position will be based out of Harlingen, TX and serves as the senior subject matter expert (SME) for pay processing, payroll tax, accounting, and reporting activities, and is responsible for driving compliance with federal, state, provincial, and local regulations.
Key Responsibilities
Oversee Payroll Processing Manage the full payroll cycle for all employees, including calculating gross-to-net pay, processing weekly and monthly payrolls, handling direct deposits or checks, and ensuring timely and accurate payments.
Ensure Compliance with Laws and Regulations Stay current on and enforce federal (e.g., FLSA for overtime in shift work, FICA, FUTA), state, and local payroll/tax laws, employee retirement.
Manage Time and Attendance Supervise collection, verification, and entry of timekeeping data, tracking overtime, leave accruals vacation, sick, holidays. Resolve discrepancies from timesheets or electronic systems.
Handle Deductions, Benefits, and Withholdings Administer voluntary and involuntary deductions (taxes, retirement contributions, garnishments, health/life insurance premiums, and ensure accurate reporting/payments to vendors or agencies.
Prepare Reports and Reconciliations Compile and submit payroll-related reports, including earnings summaries, tax deposits, W-2s, quarterly/annual filings, general ledger postings, and audit-supporting documentation. Reconcile payroll accounts, investigate/resolve errors, and maintain accurate financial records.
Supervise Payroll Staff and Systems Hire, train, supervise, and evaluate payroll clerks. Oversee payroll software/systems, implement updates or enhancements, maintain data security, and develop procedures for efficiency and accuracy.
Resolve Issues and Provide Support Investigate and correct payroll errors, respond to employee/supervisor inquiries about pay, deductions, or leave, process adjustments (e.g., terminations, promotions, transfers), and coordinate with HR, accounting, and department heads.
Maintain Records and Audits Ensure proper record retention for payroll documents per legal requirements. Support internal/external audits, prepare for reviews, and implement controls to prevent fraud or errors.
Qualifications
Bachelor’s degree in Accounting, Business, HR, or related field preferred.
5+ years of payroll experience, with at least 2 years payroll leadership or supervisory role.
Automotive industry payroll experience strongly preferred.
Experience processing payroll for operations of more the 600 employees
Proficiency with payroll systems such as ADP, CDK, UCS and Tekion
